Service
An internal AI assistant that answers staff questions from your own documents
We set up a business plan of ChatGPT, Claude, Gemini or Microsoft Copilot, or a chat inside Slack or Teams, with your company instructions, approved templates and connections to the tools your team uses. Staff draft, summarise and look things up in one governed workspace.

For companies whose staff already use AI, each in their own way
When staff use personal AI accounts, the company cannot see what is entered or control where it goes. An internal AI assistant replaces those scattered accounts with one setup under your policy. This is how enterprise AI usually starts for a mid-size company: with a governed workspace, before any custom software.

How it works
Tasks
Tasks identified by role
We list the tasks suited to AI for each role: drafting, summarising, preparing reports and finding internal information.
Plan
A plan or custom chat selected
A business AI plan, or a chat inside Slack or Teams, is selected and configured in your company account.
Library
Instructions, templates and prompts
Company instructions, approved templates and reusable prompts are added, so answers follow your style.
Connect
Approved connections
Connections to email, calendar, shared drives and the CRM are enabled where you approve them.
Policy
Acceptable use policy
A usage policy is drafted and staff are shown how to work with the assistant.
Review
Usage reviewed
Usage is reviewed with you and the setup is adjusted.

Enterprise AI platforms and company search
An enterprise AI platform is, for most companies, one of the business plans below with the right settings. We configure the platform in your account and do not resell it.
Platform
Choosing the platform
The choice follows what you already run. Gemini fits Google Workspace, Microsoft Copilot fits Microsoft 365, and ChatGPT and Claude business plans work alongside either.
Search
AI search across company files
With drive and mail connections approved, staff can ask where a document is or what a policy says. Each person sees only what their existing permissions allow.
Governance
Admin and data controls
Business plans add admin controls, user management and data terms that personal accounts lack. The terms are reviewed with you before staff are moved over.
Which documents it can use and where data is processed
The assistant uses the documents and tools you connect, and nothing else from your company. Data is processed by the AI vendor you choose, under that vendor's business terms. Those terms, including retention and whether inputs are used for training, are read with you before launch. When answers must come only from a controlled document set, with a citation on every answer, a custom AI knowledge assistant is the better fit.
- Shared drive permissions are reviewed before any connection is switched on
- Folders holding client secrets or sensitive personal data can be kept out of reach
- The usage policy states what may be entered and who is accountable for the output

- Connections to approved tools
- An acceptable use policy draft

Limits we state plainly
- Staff must not paste client secrets or sensitive personal data unless the plan's data terms and your policy allow it.
- AI output needs checking. The policy states who is accountable for work produced with it.
- Connecting the assistant to email and drives widens what it can reach. Permissions are reviewed first.
- Formal staff training and certification are offered through aitrainingphilippines.com. This service covers setup and a walkthrough.
Tools and channels involved
ChatGPT business plans, Claude for teams, Gemini in Google Workspace or Microsoft Copilot, used directly or through Slack or Teams, with connectors to company tools. CRM connections are described on the GoHighLevel and HubSpot integration pages, and sheet connections on the Google Sheets page.
What it costs

Questions we get asked
Which documents can the assistant use?
Only the documents and folders you connect or upload. Before a shared drive is connected, its permissions are reviewed so the assistant cannot reach more than intended.
Who can see which answers?
Each person's chats are their own, within the admin controls of the plan. When the assistant searches connected files, it follows the permissions each person already has.
Where is company data processed?
On the systems of the AI vendor you choose, under its business terms. Data location, retention and training use differ by vendor and plan, and are reviewed with you first.
Do we need an enterprise AI platform or a business plan?
Most mid-size teams start with a business or team plan. Enterprise plans add controls such as single sign-on and audit logs. The choice follows your headcount, your tools and your compliance needs.
Is this an AI assistant for our customers?
No. This one is for staff. Customer-facing assistants are covered on the AI chatbot for business page.
Do you train our staff?
Staff get a walkthrough of the workspace, the library and the policy. Full training programs are a separate offer through aitrainingphilippines.com.
