Google Sheets automation: sheets, Gmail, Drive and Forms connected to your workflows
Many Philippine businesses run on a spreadsheet. This page describes what can be automated across Google Sheets, Gmail, Drive and Forms, how they connect to your other tools, and the scopes and quotas to plan around.
- Platform type
- Productivity and data
- Connects via
- Sheets, Gmail and Drive APIs, Apps Script
- Main requirement
- Restricted Gmail scopes need Google verification
What can be automated with Google Sheets
Each row is a trigger and what follows it. Your project uses the rows that fit your process.
| When this happens | What the automation does |
|---|---|
| A new Messenger or form lead arrives | It is added to a Google Sheet and the owner is alerted |
| An email with an invoice attachment arrives | The file is saved to Drive, read by AI and logged in a sheet |
| A row status changes in a sheet | A confirmation email or SMS is sent |
| A Google Form response arrives | A CRM contact and a task are created |
| Every day | The daily sales sheet is summarised by AI and emailed to the owner |
| A deal is won | A document is generated from a template |
| A chatbot needs prices or hours | It reads a sheet used as its knowledge source |
How Google Sheets connects
The official REST APIs for Sheets, Gmail and Drive with OAuth 2.0. Gmail push notifications run through Cloud Pub/Sub. Apps Script handles automation inside a sheet.
- n8n integrations
- Verified Make apps
- Zapier apps
What to know before starting with Google Sheets
- Sheets API quotas apply per project and per user per minute.
- Gmail scopes for reading and modifying mail are restricted. A custom app that uses them needs Google's verification and, where data touches servers, a security assessment. Established connectors already hold this verification.
- Automations should run on a shared service account, not one employee's login.
- Sheets holding personal data need controlled sharing.
No partner status with Google Sheets or its vendor is claimed. Points marked as confirmed during scoping are checked against your own account before a build is quoted.
What we need for a Google Sheets project
We need from you
- Admin access to the Google Workspace account or the sheets involved
- A named owner who approves changes
- Copies of the sheets for testing
How a project would be approached
- Review the Google Sheets account, its plan and what access it allows
- Build and test the connection on a test account or test records first
- Staff approve the first live runs before the rest go live
- Written handover notes; the accounts stay yours

Questions we get asked
What can be automated in Google Sheets?
Lead and order logging, document filing and reading, status-based messages, form-to-CRM records, AI summaries and document generation. Sheets also work as a simple knowledge source for a chatbot.
What does Google require before an integration goes live?
Reading or changing Gmail needs restricted scopes. A custom app that uses them must pass Google's verification, so we prefer established connectors or limit the scopes requested.
Which plan, approval or fee applies on the Google side?
Quotas apply to API calls per project and per user per minute, and we design the automation to stay within them. Any Workspace plan requirement is checked during scoping.
