CRM for small business: start simple and keep it used
A small business does not need a heavy system. It needs every lead and customer in one place, a reminder for the next follow-up, and chat and form inquiries that do not stay buried in a thread. We set that up, choose the tool with you, and train your team to use it.
- Built for
- Owners and teams of one to a few dozen people
- Tools
- Free tiers, paid CRMs, GoHighLevel or a custom build
- Staff role
- Use the pipeline daily, own the customer list
- Price
- Request a quote
Signs your business is ready for a CRM
Most small businesses begin with chats, a notebook and a spreadsheet, and that works until the number of leads grows. The cost shows up as missed replies and customers who were promised a call and never got one.
- Leads arrive in Messenger, Viber, calls and forms, and nobody sees them all in one place
- Follow-ups depend on the owner remembering
- The same customer is in three sheets with three different phone numbers
- A salesperson leaves and takes the customer history with them
- You cannot say how many leads came in this month or which ones became sales
What a small-business CRM setup includes
Pipeline
One pipeline
A short list of stages that matches how you sell, for example new, contacted, quoted and won or lost.
Contacts
One clean customer list
Existing contacts from sheets, phones and chats cleaned, de-duplicated and imported, where you have a lawful basis to hold them.
Reminders
Follow-up reminders
Each lead has a next step and a date. The owner is alerted when a follow-up is due or a lead has gone quiet.
Capture
Messenger, Viber and form capture
Web forms and ad leads create records automatically. Chat inquiries are captured through the channel's official tools where they allow it.
Quotes
Quotes and payment links
Send quotes from the record. Payment links such as GCash or Maya business links can be added where your account and the CRM allow it.
Dashboard
A simple dashboard
New leads, open deals and won deals this month, readable by the owner without an export.
From a chat inquiry to a reminded follow-up
- Customer inquires by form or chat (Web form, Messenger), Automated
- Contact and deal created (Your CRM), Automated
- Owner alerted with the details (Task + alert), Automated
- You or your staff reply and quote (Staff step), Your staff
- Reminder if there is no update (Reminder), Automated
- Won or lost, logged on the record (Dashboard), Automated
Free CRM, paid CRM, GoHighLevel or custom build?
There is no single best CRM for every small business. This table shows how the options usually differ, so the choice can be made on your needs.
| Free CRM tier | Paid off-the-shelf CRM | GoHighLevel | Custom build | |
|---|---|---|---|---|
| Examples | HubSpot and Zoho CRM both offer free tiers | Paid plans of HubSpot, Zoho and similar vendors | GoHighLevel | Custom CRM development |
| Best for | A solo owner or very small team starting with one pipeline | Teams that need more users, reports or automation | Businesses wanting CRM, forms, calendars and messaging in one account | Unusual records or processes a standard CRM cannot hold |
| Limits | Users, records and automation are capped. Check the vendor's current plan | Features rise with the plan tier. Check the vendor's current plan | Some features and API access depend on the plan | Needs hosting, backups and support |
| Cost shape | No licence fee on the free tier, with a paid upgrade path | Monthly fee, often per user | Monthly account fee set by the vendor | Build cost, then hosting and support |
| Our role | Set up, import contacts, connect forms, train | Set up, automate, train | Configure, automate, train | Scope, build, support |
Plan details change, so we check the vendor's current plan before recommending a tool. Our setup fee is separate from any vendor subscription. See CRM automation for how setups are done.
How we pick a CRM with you
We do not start from a tool. We start from how many people will use it, where your leads arrive, what you need to send from it, and what you can keep up with. Then we compare two or three realistic options against that list.
- Number of users now and as the team grows
- Where leads come from: Messenger, Viber, forms, calls, marketplaces
- Whether you need quotes, invoices or payment links from the record
- How much automation you actually want, and who maintains it
- Total cost, including the vendor plan you would grow into
- Whether you want to move your data out later, and how easily
Process
How a small-business CRM setup runs
Walk through your leads
We look at where leads arrive today, how you follow up and where they get lost.
Choose the tool
We compare options against your list and write down the recommendation and the reasons.
Set up the pipeline and fields
One pipeline, the fields you need and the user accounts, in an account in your name.
Import and connect
Contacts are cleaned and imported, and forms, ad leads and chat capture are connected.
Reminders and dashboard
Follow-up reminders, alerts and a simple dashboard are built and tested with real cases.
Train and hand over
Your team gets a walkthrough and written notes. Support can be quoted separately.
What small business owners ask before choosing
I only have a few customers. Do I need a CRM?
Not always. A CRM becomes useful when follow-ups are being missed or leads are spread across several places. Are Google Sheets or Excel enough for now?
Often, yes. A sheet works while one or two people handle leads and you can see every open deal on one screen. It starts to break when leads come from several channels, more than one person follows up, or you lose track of who replied to whom. That is the point where a CRM saves more time than it takes. Will my staff actually use it?
Adoption depends on keeping data entry short. We set up the fewest fields that give you useful reports. Can I start free and upgrade later?
Often yes. We choose a tool with a path from the free tier to a paid plan, and tell you where the limits are.
What we need from you and what we handle
We need from you
- The way you get and follow up leads today, including the sheets and chats in use
- The people who will use the CRM and what each needs to see
- Your existing contact list, in whatever format it is in
- Admin access to the forms, pages and ad accounts to connect
- One person on your team who owns the CRM and keeps it tidy
We handle
- Comparing tools and writing the recommendation
- Setting up the account, pipeline, fields and users
- Cleaning and importing contacts
- Connecting forms, ad leads and chat capture
- Reminders, a simple dashboard and a team walkthrough
What a first project includes and what it leaves out
Included
- One pipeline
- Up to three connected lead sources
- Follow-up reminders and owner alerts
- One contact import and one dashboard
- Written notes for your team
Left out
- CRM licence fees, billed by the CRM vendor
- Custom-coded modules (see custom CRM development)
- Migration of long histories from legacy systems, which is scoped separately
Limits we state plainly
- Free and paid CRM plans differ in users, records, automation and API access. We check the vendor's current plan before recommending a tool.
- Chat channels connect through their official tools, and each platform sets its own rules for automated messages.
- Importing contacts needs a lawful basis for the data under the Data Privacy Act of 2012 (RA 10173).
- A CRM only helps when the team uses it. Each setup names an owner on your team.
- No partner status with any CRM vendor is claimed.
What it costs
Cost depends on how many pipelines, lead sources and users you need, and which tool you choose. The vendor subscription, if any, is billed separately by the vendor. We quote our setup in writing before work starts.

Questions we get asked
Is there a free CRM for small business?
Yes, several vendors offer free tiers, including HubSpot and Zoho CRM. Limits on users, records and features depend on each vendor's current plan, so check the vendor's page or ask us to check it for your case. A free tier can be enough for a solo owner or a very small team.
Which CRM is best for a small business in the Philippines?
It depends on your needs, not on a ranking. The questions that decide it are team size, where your leads arrive, whether you need quotes or payment links, how much automation you want and what you can maintain. We compare two or three options against those and recommend one with reasons.
Do I need a developer to set up a CRM?
Not for a standard setup. Ready-made CRMs are configured in the product without code. A developer is needed only for a custom build or an unusual integration, and we handle both.
How much does it cost?
It depends on the factors listed under price, and the CRM vendor bills its own subscription separately. Request a quote and we will send a written quote for the setup.
Can the CRM take leads from Messenger and Viber?
Often yes, through the official business tools of each channel and the CRM plan you have. We confirm the route for your channel and plan before setup.
Can I take payments from the CRM with GCash or Maya?
Some setups can send a payment link from a business account. Whether it works depends on your payment account and the CRM, so we check it during scoping.
Next step
Show us where your leads and customers live today.
Tell us how many people will use it and where inquiries arrive. We will recommend a tool, say what it would cost to set up and what it would not do.
