Automation for law firms: intake, scheduling and document preparation handled in order
A law office answers the same first questions and collects the same documents for every new matter. Automation handles the intake form, the booking and the checklist, and lawyers handle advice, review and signature. It does not give legal advice.
- Built for
- Small and mid-sized law offices and solo practitioners
- Channels
- Email, web form, Messenger, Viber
- Lawyer role
- Advice, conflict decisions, review and signature
Requests a law office receives again and again
Do you handle this kind of case?
Answered with the practice areas the firm lists. Whether the firm takes a particular matter is a decision for a lawyer, so the assistant records the request. How much is a consultation?
Answered with the consultation fee the firm chooses to publish. Fees for a matter are quoted by the lawyer. Can I book an appointment?
Slots are offered from the lawyer's calendar, and the request is recorded for the office to confirm. What documents do I bring?
The firm's checklist for that matter type is sent, and later reminders list what has not arrived.
Automations we set up for law offices
Intake
Intake form and first reply
A form collects the contact details and a short description of the matter, and the person gets an acknowledgement that says it is automated.
Book
Consultation booking
Consultation slots for the right lawyer, with a confirmation and a reminder.
Collect
Document checklist and collection
A checklist by matter type, a secure place to send files and reminders for what is missing.
Assemble
Template-based document assembly for lawyer review
Standard documents are drafted from your templates and the intake data, and held as drafts for a lawyer to review.
Remind
Deadline and hearing reminders
Reminders sent to the lawyer and the office from the dates they record in the calendar.

Systems these touch
- Intake and document emails are filed to the matter by reference.
- Calendar
- Consultation slots, deadlines and hearing dates live on calendars your office already uses.
- Document storage
- Google Drive, OneDrive or a firm server, with one folder per matter.
- Practice management tools
- If you use one, we check what it offers for import and export. If not, a sheet serves as the matter tracker.
Channels for law office intake
- Web form and email
- The preferred routes for intake, because a form can state what not to send and where files should go.
- Messenger and Viber
- Some clients message first. The assistant replies with the same acknowledgement and a link to the intake form rather than collecting case details in chat.
- Phone
- Urgent matters and hearings go to a person.
What stays with the lawyer
This page and the automation do not give legal advice, and the assistant never answers a question about a person's case.
Always with a lawyer
- Legal advice: whether someone has a case, what to do and what the law says
- Review and signature: every drafted document is a draft until a lawyer signs it
- Conflict decisions: the automation lists parties; a lawyer decides
- Fees for a matter and the decision to accept it
Handled by the automation
- Intake forms and acknowledgements
- Booking and reminders
- Document checklists and chasing
- Filling templates from confirmed data
Confidentiality and data handling
Client communications can be privileged. The Data Privacy Act of 2012 (RA 10173) defines privileged information (section 3(k)) and lets a controller invoke privileged communication over it (section 15), and a controller stays responsible for data that a provider processes for it (section 21).
On the use of AI, the Supreme Court adopted a governance framework on human-centered augmented intelligence in the judiciary by en banc resolution dated 18 February 2026. A law firm's summary says it applies to court users, including members of the Bar. Read the resolution and any guidance from the Integrated Bar for your own practice. This section describes how we build and is not legal advice.
- Privileged information: collected only as far as intake needs, and never used to answer other people's questions.
- Where documents are processed: named in the scope, with the hosting and model provider you approve.
- Access by matter: staff see the matters they are assigned to.

Questions we get asked
Can client intake be automated without giving legal advice?
Yes. The form and the first reply collect contact details and a description, and say plainly that they are automated and are not advice. A lawyer decides what happens next.
Where are client documents processed?
In the accounts and regions named in the scope. We choose hosting and any AI model provider with you, and keep documents in your own storage.
Can the assistant book consultations for specific lawyers?
Yes. Each lawyer's calendar is connected, and slots are offered by practice area or by lawyer. The office confirms the booking.
Who reviews documents prepared from templates?
A lawyer. Assembled documents stay as drafts. Nothing is sent to a client or a court until a lawyer has reviewed and signed.
