QuickBooks Online automation: invoices, payments and records kept in step
QuickBooks Online is cloud accounting software. This page describes what can be automated around it and how the Accounting API connects. The automation prepares records for your accountant to review. It does not give tax or accounting advice.
- Platform type
- Cloud accounting
- Connects via
- REST Accounting API, webhooks, n8n node
- Main requirement
- Custom connections need an Intuit developer app
What can be automated with QuickBooks Online
Each row is a trigger and what follows it. Your project uses the rows that fit your process.
| When this happens | What the automation does |
|---|---|
| A Shopify or WooCommerce order is paid | A sales receipt is created |
| A supplier bill arrives as a PDF | AI reads it and a draft bill is created for review |
| An invoice becomes overdue | A reminder goes out by email or chat |
| A new customer is added to the CRM | The customer is created in QuickBooks |
| A payment gateway payout arrives | It is matched to invoices in a review sheet |
| The month ends | Figures feed a management dashboard |
How QuickBooks Online connects
The official REST Accounting API with OAuth 2.0, and webhooks.
- A native n8n node
- A verified Make app
- A Zapier app
What to know before starting with QuickBooks Online
- Custom API connections need an Intuit developer app. Production keys can require Intuit's app assessment, which is confirmed during scoping.
- Throttles apply per company file. The limits are checked against the current documentation during scoping.
- QuickBooks Online is sold in the Philippines as a global version. API feature parity for Philippine company files is not confirmed, and is checked on your file before a build is quoted.
- QuickBooks Desktop is a different product with no cloud API.
- The automation prepares entries and a qualified person reviews them. BIR requirements stay with your accountant.
No partner status with QuickBooks Online or its vendor is claimed. Points marked as confirmed during scoping are checked against your own account before a build is quoted.

Questions we get asked
What can be automated in QuickBooks?
Creating sales receipts from paid orders, drafting bills from supplier PDFs, overdue reminders, customer creation and payout matching. A person reviews what is posted.
What does QuickBooks require before an integration goes live?
An Intuit developer app, and for production use, whatever app assessment Intuit requires at the time. We confirm this during scoping.
Does this give tax or accounting advice?
No. It prepares records. Tax treatment, filings and advice stay with your accountant.
