Service
CRM automation that keeps every lead moving through your pipeline
We set up your CRM around the way you actually sell, then remove the manual steps around it: records created from forms and chats, tasks assigned, reminders sent and a pipeline report that does not need chasing.
- Built for
- Teams tracking leads in chat threads and sheets
- CRMs
- GoHighLevel, HubSpot and others with an API
- Staff role
- Work the pipeline, own the CRM

For teams whose leads live in too many places
A CRM only helps if the team works in it. The usual cause of an unused CRM is that entering data takes more effort than not entering it. The work here is to remove that effort.
- Teams tracking leads in chat threads and sheets
- Businesses that bought a CRM and use a fraction of it
- Owners starting on GoHighLevel
What we set up
Pipeline
Pipelines and stages
Stages, fields and user roles that match how your team sells, not a default template.
Capture
Lead capture from forms, chat and ads
Records are created automatically with their source and campaign.
Tasks
Automated tasks and reminders
A stage change creates the next task, alerts the owner and sends the message you approved.
Booking
Calendars and booking
Booking links that create or update the lead and move it to the right stage.
Data
Cleaned contacts
Existing contacts are cleaned, de-duplicated and imported, where there is a lawful basis to hold them.
Reports
Dashboards
A pipeline view managers can read without asking for updates.
From a form lead to a reminded follow-up
- Lead submits a form (Web form or ad), Automated
- Contact and deal created (Pipeline stage), Automated
- Owner assigned and alerted (Task + chat alert), Automated
- Salesperson contacts the lead (Staff step), Your staff
- Reminder if no update (Reminder), Automated
- Stage change alerts the manager (Dashboard), Automated
GoHighLevel setup
GoHighLevel is the CRM we use most. API access and some features depend on the plan, so the plan is checked before scoping. The GoHighLevel integration page lists what connects and the limits.
Account
Sub-account configuration
Pipelines, custom fields, calendars and forms set up in your own sub-account.
Workflows
Workflows and snapshots
Automations built once and saved as a snapshot, so a second location can reuse them.
Sending
Phone and email sending setup
Sending domains and numbers are set up, with sender registration confirmed per account.
Team
Staff accounts
Users and roles set so each person sees what they need.
Other CRMs
Other CRMs through n8n
HubSpot, Odoo and other CRMs are connected through n8n. What can be automated depends on the API and plan of each CRM.
Ownership
Your account, your data
The CRM account is in your name. Naming conventions and written notes make it easy for another person to take over.
What we need from you and what we handle
We need from you
- Your sales process as it runs today, including where leads get stuck
- Lead sources: forms, ads, chat, referrals
- Team roles and who owns each stage
- CRM admin access, or a decision on which CRM to adopt
- A CRM owner on your team who keeps the data tidy
We handle
- Mapping the current sales steps and reports
- Configuring pipelines, fields and user roles
- Connecting forms, chat channels and ad leads
- Building the tasks, alerts and stage messages
- Dashboards and a team walkthrough
What a first project includes and what it leaves out
Included
- One pipeline
- Up to three connected lead sources
- Core automations: assignment, tasks, reminders and stage messages
- One contact import and one dashboard
Left out
- CRM licence fees, billed by the CRM vendor
- Custom-coded modules
- Migration of long histories from legacy systems, which is scoped separately
Limits we state plainly
- Some CRMs make API access and workflow automation available only on certain plans or editions. The plan is checked before scoping.
- A CRM works only if staff use it. Adoption needs a named owner and follow-through from managers.
- Importing contacts needs a lawful basis for the data under the Data Privacy Act of 2012.
- This is a setup service. No partner status with any CRM vendor is claimed.
What it costs
Cost depends on how many pipelines and automations your process needs.

Questions we get asked
Do we need GoHighLevel, or can you automate the CRM we have?
We can work with the CRM you have if it offers an API or built-in automation on your plan. GoHighLevel is an option when you have no CRM or the current one limits what you need. The plan check comes first.
Who owns the CRM account?
You do. The account is created in your name, and we work in it with the access you grant.
Can existing contacts be migrated?
Yes, after clean-up and where you have a lawful basis to hold them. Long histories from legacy systems are scoped separately.
What does the team need to learn?
How to move a lead between stages, how to read the tasks assigned to them and where the dashboard is. The walkthrough covers those, and the written notes cover the rest.
