Comparison

AI receptionist and human receptionist: what each covers and how they work together

A receptionist in the room and an assistant on your messages do different jobs. This page compares them on coverage, tasks, handover and cost structure, and shows how front desks use both.

Where the hours go

  • Hours

    Office hours and outside them

Messages arrive in the evening and at weekends. An assistant replies when they arrive and queues the booking for the receptionist. A person covers the hours you schedule.

  • Volume

    Several chats at once

On a busy morning after an ad, several patients may write at the same moment. An assistant answers each one; a person answers them in turn.

  • Holidays

    Holidays and leave

The assistant keeps replying on holidays with your holiday hours. A receptionist's leave needs cover by someone else.

Tasks each handles best

AI receptionist

  • Routine answers: hours, location, services, published prices
  • Booking: collecting the details and writing the request to a calendar
  • Reminders and confirmations to people who agreed to them
  • Logging every enquiry with its source

Human receptionist

  • Walk-ins: greeting, directing and settling someone who has just arrived
  • Sensitive cases: complaints, anxious patients, bad news
  • Exceptions: double bookings, emergencies, a request nobody planned for
  • Payments, paperwork and anything done in person

How a chat moves from the assistant to the front desk

  1. Patient messages (Messenger, Viber), Automated
  2. Assistant answers and collects (Routine case), Automated
  3. Handoff rule triggered (Complaint, urgent), Automated
  4. Receptionist sees full chat (Alert), Your staff
  5. Receptionist replies or calls (Person), Your staff
  6. Outcome noted (Same log), Automated
AutomatedYour staffSample workflow for a sample clinic. The handoff rules are set with you.

When the assistant passes a chat: on complaints, urgent or sensitive topics, requests for a person and anything you list. It tells the customer a person will follow up.

What the receptionist sees: the whole conversation, the details collected so far and the reason it was passed on, so nobody asks the customer to repeat themselves.

Closing the loop: the receptionist records the outcome in the same log, and the assistant sends the confirmation once the booking is confirmed.

Compare with your own figures

An assistant is a setup cost followed by tool, usage and message fees and optional support. A receptionist is salary and benefits for the hours covered. We quote no amounts as typical and cite no salary figures.

  • Inputs you supply: messages per month, the share that are routine, the cost of the hours your front desk spends on them, and the quote for the assistant.
  • What the comparison leaves out: the value of a person at the door, and the cost of a missed message at night.

Work through the arithmetic in the ROI calculator.

A combined front desk

  • The assistant

    Takes the queue

It answers the first message, collects the booking details and leaves a clean request for the desk to confirm.

  • The receptionist

Takes the people in the room

Free from retyping and repeated questions, the receptionist greets patients, settles concerns and handles exceptions.

Questions we get asked

Can an AI receptionist cover messages outside office hours?

Yes. It replies when a message arrives on a connected channel and records booking requests for your staff to confirm in the morning. Each channel has its own rules about what can be sent outside a recent conversation.

Which front-desk tasks should stay with a person?

Greeting people, handling complaints and emergencies, taking payments and any decision that depends on judgement.

How does a chat get passed to staff?

A handoff rule sends the full conversation to a named person with an alert. You decide the rules, for example any complaint or any mention of an urgent symptom.

Does adding an AI receptionist change the receptionist role?

The routine, repeated typing moves to the assistant, and the receptionist spends more time on people and exceptions. How roles are set is your decision.
