AI for real estate teams that answers listing inquiries and books the viewing

Property inquiries arrive from Facebook ads, listing posts and referrals, often at night. An assistant answers from your approved listing sheet, asks the qualifying questions and proposes viewing slots, and your agent takes the buyer from there.

Conversations a property team handles

The same four questions arrive for almost every listing. The first reply decides whether the buyer keeps talking to you or moves on to the next post.

  • Is this unit still available?Answered from the inventory sheet your team keeps. The assistant can only be as current as the sheet, so we name one person who keeps it up to date.
  • What is the monthly amortization?Answered only from the developer or seller's published payment scheme. Bank approval, financing advice and special terms go to the agent.
  • Where is the site?Answered with the location, map link and nearby landmarks you have approved for that listing.
  • Can I view this weekend? The assistant proposes the viewing slots from the agent's calendar and records the request. The agent confirms.

Systems these touch

Facebook Page and listing portals
Page messages and ad inquiries are answered by the assistant. Portal inquiries that arrive by email are read and answered from the same listing sheet.
CRM pipeline
Each inquiry becomes a contact with its source, listing and stage. GoHighLevel, HubSpot or a sheet can hold it.
Calendar
Google Calendar or the calendar your agents already use holds viewing slots.
Sheets of inventory
The listing sheet is the only source for availability and prices. The assistant says it is checking with the agent when a listing is not in it.

Channel mix for property

Messenger and ads for new inquiries
Click-to-Messenger ads and listing posts send most first contacts here. Meta's messaging policy sets a standard window for replying after a buyer's last message, so reminders outside it use an approved route.
Viber for active buyers
Buyers already in conversation with an agent often move to Viber. Viber bots can only be created on commercial terms, so we confirm that route in the assessment.
WhatsApp for overseas buyers
Overseas Filipino buyers often prefer WhatsApp. It requires a Meta business account, and templates and opt-in rules apply to messages the business starts.

Buyer data handling

Under the Real Estate Service Act (RA 9646, section 29), only licensed or authorised persons may practise or offer to practise real estate service in the Philippines, and salespersons work under a broker (section 31). The assistant is set up to speak for your licensed broker or firm and to say it is automated. It does not present itself as an agent. Listing facts come from your approved sheet, since advertisements for registered subdivision and condominium projects must reflect the real facts (PD 957, section 19).

Buyer messages contain personal information under the Data Privacy Act of 2012 (RA 10173). This section describes how we build and is not legal advice.

  • Consent for follow-ups: the assistant asks before it saves contact details for follow-up and records the answer.
  • What is stored: name, contact number, listing of interest, budget range and the chat. Not ID numbers, bank details or payment cards.
  • Who on the team sees it: the assigned agent and the sales manager. Access is set per team in the CRM.

Questions we get asked

Can the assistant answer questions about specific listings?

Yes, from the listing sheet you give it: price, size, location, inclusions and availability. If a detail is not in the sheet, it says it will check with the agent.

How are buyers qualified before an agent steps in?

The assistant asks the questions you choose, such as budget range, area and purpose of the purchase, and records the answers. You decide what counts as ready, and the agent sees the answers with the chat.

Can it schedule viewings on an agent calendar?

Yes. It offers slots from the calendar you connect and records the request. The agent confirms, so double booking is avoided and special cases are handled by a person.

Does it serve overseas Filipino buyers on WhatsApp?

It can, if you have or set up a WhatsApp Business Platform account with Meta. Messages the business starts need approved templates and the buyer's opt-in.

Does it work for a solo agent as well as a sales team?

Yes. A solo agent might use one listing sheet, one calendar and one inbox. A team adds routing, so each inquiry goes to the right agent.

We will show how the assistant would have answered them and where an agent would have stepped in.
