AI assistants for clinics and dental practices that keep the appointment book full
Patients message the clinic before they call. The assistant answers the routine questions, collects booking details and passes the rest to your front desk. It does not give medical advice.

Automations we set up for clinics
Answer
Inquiry answering on Messenger and Viber
Services, hours, location, doctors on duty and published prices, from information the clinic approves.
Book

Prepare
Intake form before the visit
A link to the clinic's own form for contact details and visit reason. Clinical history is taken by the clinic, not in chat.

Systems these touch
- Clinic calendar or practice software
- Google Calendar or a booking sheet is the simplest. If your practice software has an export or API we check what it allows in the assessment. If it has none, bookings go to a sheet that staff confirm from.
- Facebook Page
- Where many new patients first write. The assistant replies to Page messages.
- Viber and SMS
- Viber bots can only be created on commercial terms through Viber or an official partner, so we confirm that route first. SMS can be used for reminders where the patient agreed to them.
- Sheets or CRM
- Each enquiry is logged with its source channel and question type, so you can see what patients ask most.
Channel mix for clinics
- Messenger for discovery
- New patients tend to find the clinic through its Page or an ad and write there first.
- Viber for existing patients
- Patients who have already visited often prefer Viber for rescheduling and reminders.
- Phone for urgent cases
- Anything urgent is sent to the phone number the clinic gives. The assistant tells the patient to call and alerts staff.
What the assistant leaves to clinicians
The assistant is a front desk for messages. It does not practise medicine or dentistry.
Always goes to staff
- Medical advice: what to take, what to do about a symptom, whether something is serious
- Diagnosis: any question that asks what a symptom or an x-ray means
- Emergencies: routed to staff and to the clinic's call number straight away
- Treatment plans, prescriptions and results
Handled by the assistant
- Hours, location, doctors on duty and published prices
- Collecting booking details
- Passing requests for staff to confirm
- Reminders to patients who agreed to them
Patient data handling
Patient messages can contain health information. The Data Privacy Act of 2012 (RA 10173) treats information about an individual's health as sensitive personal information (section 3(l)), and processing it generally needs the person's consent specific to the purpose (section 13). The clinic remains responsible for the data, including when a provider processes it for the clinic (section 21).
We build around that and do not give legal advice. Speak to your own adviser or data protection officer about your clinic's obligations.
- Sensitive personal information: the assistant asks only for what a booking needs and tells patients it is automated.
- What the assistant never asks for in chat: symptoms in detail, diagnoses, medical history, ID numbers or payment cards.
- Access and retention: only the front desk and named staff see chats. Retention follows the clinic's own policy and is set in the build.

Questions we get asked
Can patients book through Messenger or Viber?
They can request a booking there. The assistant collects the details and writes the request to your calendar or sheet, and your front desk confirms the slot. Viber depends on Viber's commercial terms for bots, which we check with you.
How are reminders and recalls sent?
Through the channel the patient used or by SMS, to patients who agreed to receive them. Each channel has its own rules about messages outside a recent conversation, and we build within them.
Does the assistant give medical advice?
No. It is set up not to. Symptom, diagnosis and treatment questions go to your staff, and urgent messages are routed to them with the chat attached.
How is patient information protected?
We ask only for what a booking needs, keep records in accounts the clinic controls, limit who can see chats, and build around the Data Privacy Act. Your own data protection officer or adviser decides what your clinic needs beyond that.
Does it work with our clinic software?
It depends on what the software offers. Calendar and sheet connections are straightforward. For practice software we check for an export or API during the assessment. If there is none, bookings go to a sheet your staff confirm from.
