Service
Invoice and document automation that captures, routes and files without retyping
Supplier invoices, official receipts, delivery receipts, purchase orders and forms are read by an AI step, checked against your rules and sent to the right approver. Approved data lands in your sheet, accounting or ERP system, and the original file is stored with a link to the record.
- Built for
- Teams that type from invoices, receipts and forms
- Stays human
- Review of amounts, IDs and uncertain fields
- Does not do
- Tax treatment, payroll computation, legal review
- Price
- Request a quote
For teams whose invoice processing starts with retyping
Invoice processing is mostly reading a document, typing its fields somewhere else and asking someone to approve it. Those three steps can be prepared by a system, so your staff confirm the uncertain items and handle the exceptions.
- Accounting and bookkeeping firms
- Distributors and importers with many supplier invoices
- Lending and insurance operations that collect forms and IDs
- HR teams processing employee requirements
- Shared service teams
How it works
Capture
Documents arrive in one place
Files come in by email, an upload folder, a scanner or chat, and are logged as they arrive.
Read
An AI step extracts the fields
Supplier, date, invoice number, line items, totals, TIN and any other fields you agree on.
Check
Rules check the result
Totals, dates, duplicates, required fields and formats such as TIN are checked automatically.
Review
Uncertain items go to a person
Low-confidence fields are shown beside the original document for a reviewer to confirm or correct.
Approve
Approval routing
Each document goes to the approver for its amount, department or supplier, with a reminder if it waits.
File
Data written, original filed
Approved data is written to the sheet, accounting or ERP system. The file is stored and linked, and exceptions are logged.

Document automation, OCR and intelligent document processing
These terms overlap. Buyers searching for document automation software or an automated invoicing tool are usually describing the same work.
OCR
OCR and receipt OCR
Optical character recognition turns a scan or photo into text. Receipt OCR is the same step applied to official receipts and thermal slips, which are the hardest to read cleanly.
IDP
Intelligent document processing
OCR plus an AI model that understands which text is the supplier, the total or the due date, even when each supplier lays out its invoice differently.
Automation
Document automation
Everything around the reading: collecting the files, checking the data, routing approvals, writing to the destination system and filing the original.
Payroll documents, contracts and identity documents
The same capture, check and route pattern applies to other document sets. Each one has a part that stays with a tool or a qualified person.
Payroll
Around the payroll tool
Timesheets, leave forms and employee requirements are collected, checked for completeness and passed to the payroll team. Payroll computation and statutory contributions stay in the payroll system.
Contracts
Around the contract
Automated contracts here means a draft filled from an approved template, sent for signature and filed, with renewal dates tracked. The wording and any legal review stay with your lawyer.
Identity
Forms and IDs
Application forms and IDs can be read and checked for completeness as a first pass for an onboarding or KYC step. The decision to accept a customer stays with your compliance staff.
What the automation does not do
The automation reads, checks and routes documents. It does not give tax, accounting, payroll or legal advice.
- Tax treatment and BIR compliance decisions stay with your accountant
- Payroll computation and statutory contributions stay in your payroll system
- The content of a contract is reviewed by your lawyer, not by the automation
What we need from you and what we handle
We need from you
- Sample documents of each type, including poor scans
- The fields to extract and the validation rules
- The approval rules: who approves what
- Access to the destination system
- A reviewer who confirms uncertain items
We handle
- Setting up the intake from email, folders or chat
- Building and testing the extraction on your samples
- The validation rules and the review queue
- Approval routing and reminders
- Output to the destination, file storage and an exception log
What a first project includes and what it leaves out
Included
- Up to three document types
- Extraction and validation rules
- A review queue
- Output to one destination
Left out
- Handwritten documents at volume
- Legal review of contract content
- Destination systems with no import or API
Limits we state plainly
- Extraction is not perfectly accurate, especially on poor scans, thermal receipts and handwriting. A review step is kept for amounts and IDs.
- Government IDs and financial documents are sensitive personal information under the Data Privacy Act of 2012. Storage, access and retention are defined before launch.
- Documents are sent to the AI or OCR provider for processing. Provider terms and data location are reviewed with you.
- Tax treatment and BIR compliance decisions stay with your accountant.
Tools and channels involved
An AI model with document vision or an OCR service, Google Drive or SharePoint for storage, Google Sheets or Excel, and n8n to connect the steps. Destinations include QuickBooks, Xero, Odoo and NetSuite. See the QuickBooks, Odoo and Google Sheets integration pages. Work that continues after the document is filed belongs to business process automation.
What it costs
Cost depends on how many document types are read and where the data goes.
Document and invoice automation
Request a quote
Quoted per project after a short review of your channels, volumes and systems.
Request a quoteWhat moves the price
- Number of document types
- Fields and validation rules per type
- Approval steps
- Destination system and its API
- Monthly document volume, which sets the provider usage fees
- Support level
Questions we get asked
What is document automation?
It is the handling of a document from arrival to filing without retyping: the file is collected, its fields are read, the data is checked, an approver signs off and the record is written to your system.
What is intelligent document processing?
It is OCR combined with an AI model that identifies which text is which field. It copes with invoices from many suppliers without a fixed template for each one.
Which OCR tool is best for receipts and invoices?
It depends on the documents. We test your own samples, including the poor scans, on more than one option before choosing, because results differ by document type and print quality.
Is this invoice processing software we install?
No. It is a workflow built from tools you already have or can subscribe to in your own name, such as cloud storage, an AI or OCR service and your accounting software.
Can approvals be automated?
The routing can. Automated approval here means the document reaches the right approver with the data attached and a reminder if it waits. A person still approves, unless you set a rule for low-risk items.
Do you offer OCR scanning services near us?
The work is done remotely for businesses anywhere in the Philippines. Paper is scanned at your office, and the files are read from the folder or mailbox they are saved to.
How are IDs and financial documents protected?
Files stay in storage you own, with access for named users only. Retention and deletion rules are written down before launch, in line with the Data Privacy Act of 2012.

List the document types, the fields you need and where the data ends up. We will say what can be read automatically and what a reviewer should keep.
