Custom CRM development for Philippine businesses

We build a CRM system around the way your business sells and serves customers: your own records, stages and approvals, leads from Messenger, Viber and web forms, and dashboards your managers can read. You own the system and the data.

When a custom CRM is the right build

Most teams should start with a ready-made CRM software subscription, and our CRM automation service sets those up. A custom CRM makes sense when the business has records, steps or rules that a standard CRM system cannot hold without workarounds, or when per-user licence fees grow faster than the team.

  • Businesses running sales and service from spreadsheets, group chats and paper forms
  • Teams paying for a CRM platform and using only a fraction of it
  • Companies with an industry process: property units, patient visits, applicants, shipments or service jobs
  • Owners who want one system for leads, customers, staff tasks and reporting

What a custom CRM system includes

  • Records

    Your own data model

Contacts, companies and deals, plus the records your business actually tracks: units, policies, patients, applicants, orders or job sites.

  • Pipeline

    Pipelines and approvals

Stages, required fields and approval steps that match your process, with a clear owner on every record.

  • Capture

    Leads from every channel

Messenger, Viber, WhatsApp, web forms and ad leads land in the CRM with their source, so nothing stays in a chat thread.

  • Automation

    Tasks, reminders and messages

A stage change creates the next task, alerts the owner and sends the follow-up you approved.

  • Access

    Roles and a customer portal

Each user sees what their role needs. An optional portal lets customers or partners check status and upload documents.

  • Reports

    CRM dashboard and reports

Pipeline value, conversion by source and team activity on one CRM dashboard, with exports for finance.

Custom CRM or off-the-shelf CRM software?

Both are good choices for different businesses. This is how we help owners decide during scoping.

Off-the-shelf CRM (HubSpot, Zoho, Salesforce, GoHighLevel)Custom CRM
Best forStandard sales pipelines and teams that want to start this monthIndustry processes, unusual records and approval steps
Cost shapeMonthly fee per user, rising with the plan and the teamBuild cost, then hosting and support; no per-user licences
Fit to your processYou adapt to the vendor's fields and limitsFields, stages and screens are built around your process
Data ownershipHeld in the vendor's cloud under their termsYour hosting, your database, exportable at any time

If an off-the-shelf CRM covers your process, we say so and point you to CRM automation or the HubSpot, Zoho CRM and GoHighLevel pages.

Custom CRM examples by industry

Every custom CRM starts from the records a business already keeps. Typical builds for Philippine businesses:

  • Real estate

Process

How a custom CRM build runs

  1. Process mapping

We map how leads and customers move through your business today, the records you keep and the reports managers ask for.

  2. Written scope and quote

Screens, fields, roles, integrations and data migration are written down, with a fixed quote for each phase.

  3. Clickable prototype

Your team tests the main screens with sample data before the full build.

  4. Build and integration

The CRM is built, connected to your chat channels, forms and other systems, and your existing contacts are imported.

  5. Testing and training

Staff test real cases, managers sign off, and each role gets a walkthrough and written notes.

  6. Support and changes

Hosting, backups and updates are covered under a support plan, and new features are quoted as your business grows.

Built on proven foundations

Where it fits, a custom CRM starts from a proven open-source CRM base and a standard PostgreSQL database rather than from a blank page. That keeps the build focused on what is specific to your business, and any competent developer can maintain it later.

AI features are added where they save time: call and chat summaries on a record, lead scoring from your own data, and drafted replies that staff approve. The custom AI and integrations page explains how those are built.

Personal data is handled under the Data Privacy Act of 2012 (RA 10173): role-based access, an audit log of changes, and hosting chosen with you in the scope.

What we need from you and what we handle

We need from you

  • Your sales and service process as it runs today, including the spreadsheets and forms in use
  • The records you track and the reports managers ask for
  • Team roles and who approves what
  • Access to the systems the CRM should connect to: chat pages, forms, accounting or inventory
  • A named owner on your team who signs off each phase

We handle

  • Process mapping and the written scope
  • Data model, screens and user roles
  • The build, hosting setup and backups
  • Integrations with chat channels, forms and other systems
  • Contact import, testing, training and handover notes

What a first project includes and what it leaves out

Included

  • A web-based CRM with your records, pipelines and roles
  • Up to three connected lead sources
  • Core automations: assignment, tasks, reminders and stage messages
  • One CRM dashboard and one contact import
  • Source access and written documentation

Left out

  • Native mobile apps (the CRM works in a phone browser)
  • Third-party fees such as hosting, SMS and messaging API charges
  • Migration of long histories from legacy systems, which is scoped separately

Limits we state plainly

  • A custom CRM needs hosting, backups and updates, so a support plan or an in-house developer is part of the decision.
  • Chat channels connect through their official APIs, and each platform sets its own rules for automated messages.
  • Importing contacts needs a lawful basis for the data under the Data Privacy Act of 2012.
  • A CRM works when staff use it. Each build names an owner on your team and keeps data entry to the minimum the reports need.

What it costs

Custom CRM development cost depends on the number of records, screens and integrations your process needs. Each phase is quoted in writing before work starts.

Questions we get asked

How much does a custom CRM cost in the Philippines?

It depends on the records, screens and integrations in scope. After a process-mapping call we send a written quote per phase, so you can start with the core CRM and add features later.

Is a custom CRM better than HubSpot, Zoho or Salesforce?

For standard sales pipelines, an off-the-shelf CRM is often the faster and cheaper choice, and we set those up too. A custom CRM pays off when your process needs records and steps those tools cannot hold, or when per-user licence fees add up across a large team.

Do we own the CRM and the data?

Yes. The CRM runs on hosting in your name, the database is yours and can be exported at any time, and you receive source access with the handover documentation.

Can the CRM capture leads from Facebook Messenger and Viber?

Yes, through the official Messenger and Viber business APIs. Enquiries become CRM records with their source, and replies can be sent from the CRM where the platform rules allow.

Can you migrate our data from spreadsheets or another CRM?

Yes. Contacts and open deals are cleaned, de-duplicated and imported where you have a lawful basis to hold them. Long histories from legacy systems are scoped separately.

Can you build a CRM for a small business?

Yes. Small-business CRM builds usually start with one pipeline, a customer list and the follow-up reminders, then grow phase by phase as the team does.
