Messenger Chatbot Handover: A PH Business Checklist

Messenger chatbot handover is the point where an automated conversation becomes a person's responsibility. A useful handover tells the customer what happens next, gives staff the details they need and controls which automated messages can still run. It should also leave a clear record of who owns the enquiry.

The checklist: define the trigger, name the owner, pass the context, control automation, set an honest expectation and test the return to normal service. A captured enquiry, a confirmed booking and a paid order are separate outcomes.

This matters when a chatbot can answer the first question but cannot finish the work. It may know your opening hours, yet need a person to approve a discount or check a vehicle. The conversation needs a route forward at that point.

Which requests should trigger Messenger chatbot handover?

Start with a written list. Staff should take over when the customer asks for a person, challenges an answer, reports a complaint or requests something outside the approved information. You may also need handover when a connected system fails or cannot return a reliable answer.

Handover triggers to agree with your team

RequestA sensible rule to test
Opening hours or basic requirementsUse an approved answer
Preferred appointment dateCapture it, then check the actual booking source
Special price or exceptionAssign staff review
Complaint or refund requestGive a person ownership
Unclear date or missing detailAsk a clear follow-up question; hand over if unresolved
Failed CRM or booking connectionRecord the failure and route the request to staff

These are planning examples. Your rules should match the service you provide. A rental business may automate its requirements while reserving final vehicle confirmation for staff. A clinic may capture an appointment request while leaving clinical questions to the appropriate person.

The Messenger chatbot service page explains the wider implementation. This checklist focuses on the handover inside that process.

Who owns the conversation after handover?

Give each open enquiry a named person or a defined team queue. Decide who checks unassigned conversations and who covers an absent colleague.

An alert alone does not establish ownership. If several people receive the same notification, each may assume someone else replied. Your team needs a visible state such as awaiting staff, assigned, awaiting customer or resolved. Choose labels staff understand and define what each one means.

Manychat's Inbox documentation distinguishes open conversations that require human attention from closed conversations. That is one example of how a tool can organise the queue. Check the controls in the product and plan you actually use. Manychat Inbox documentation.

What should staff receive?

Pass the customer's request and the details already collected. Include the service or product, any relevant reference, the last useful answer and the reason for handover. Staff should be able to continue without making the customer start again.

Keep the summary factual. If the customer requested a booking, write "booking requested". Do not turn it into "booking confirmed" because a preferred date appears in the conversation.

For a car-rental enquiry, a useful record might contain the requested dates, pickup area and vehicle preference. A missing availability check should remain visible. This is an illustrative example, not a completed client workflow.

Will the bot keep replying while staff talk?

Ask the provider to demonstrate the exact behaviour. A staff member should not compete with an automated reply that contradicts what they have just said.

Manychat documents an action that pauses automations and can work with conversation assignment. Its guidance also says that an action already running may finish before the pause takes effect. Test that boundary in your own flow, especially around messages that have already been scheduled. Manychat pause-action guidance.

Decide who may resume automation and what should trigger that return. Closing an enquiry and restarting a sales sequence should be deliberate steps. Write down what staff should do when the customer changes the subject or opens a new request.

Check whether a reply is still permitted

Assigning a conversation to staff does not remove the channel's messaging rules. Before replying or resuming a flow, check the current window and the permitted message type in the connected account. Manychat distinguishes automated delivery from manual Inbox replies and documents restrictions after the customer's interaction window. Manychat messaging-window guidance, checked on 24 October 2026.

If the permitted window has closed, use an approved route appropriate to that message and account. Do not treat a staff assignment, a tag or a paused automation as permission to send.

What should the customer see?

Use a plain message that reflects your actual staffing. Explain that the request needs a person and what the customer should expect next. Do not imply that someone has checked a booking or payment when that has not happened.

For example: "I have recorded your preferred date. Our team will check availability and reply here." This is illustrative wording. It makes no promise about a business's response time or hours.

Offer a practical way to continue if the customer cannot wait. That might be a working phone number, email address or booking route, depending on what your business provides. Check each route before adding it to the flow.

What should you test before customers use it?

Use dummy customer details and a written test sheet. For each case, record the expected result, what happened and what needs fixing.

Include a direct request for a person, a misspelling, mixed English and Filipino wording, an unclear date and a repeated enquiry. Add a complaint, a failed connection and a staff member who is unavailable. Test whether the queue still has an owner and whether the customer receives a useful next step.

Also test a payment screenshot. The system should distinguish receiving an image from verifying a payment. Any confirmation should come from the payment process your business has approved.

Test the full path through staff reply and closure. A demonstration that ends at "notification sent" does not show whether the person received enough context, replied or resolved the enquiry. Record those as separate checks.

What customer data belongs in the handover?

Include the details needed to handle the request and limit who can read them. Use dummy data in demonstrations rather than another client's conversation history.

The National Privacy Commission's AI advisory says privacy obligations apply when AI systems process personal data, including during testing. It also addresses accountability when a business outsources processing. Agree where records sit, who has access and how to export or remove them. NPC Advisory No. 2024-04.

Keep your notice and staff instructions consistent with the system you deploy. Your provider should explain which services receive the data and which accounts your business controls.

What should the final handover include?

Ask for the trigger list, queue rules, staff instructions, test record and a route for reporting problems. Name the person who can change approved answers and the person who checks unresolved conversations.

Our business chatbot page covers related chatbot work. The right scope should reflect how your team handles enquiries, including the parts that remain with a person.

Try a handover exercise before comparing vendors

Run the browser-based handover teaching model with a repeated event, a missing preferred day and a customer asking for a person. The model uses dummy records and fixed rules. It does not connect to Messenger or prove vendor behaviour.

For each case, record the expected request count, actual request count, assigned owner and automation state. A repeat delivery should not create another request; a genuinely new enquiry from the same customer should. In a real vendor trial, inspect the inbox, destination record and staff queue separately.

Manychat distinguishes Inbox assignment and conversation states from the Pause all automations action. Check the pause action's limits for running actions and its availability in your plan. These source pages were checked on 24 October 2026; a documentation review is not an account test.

Use the comparison scorecard to keep documented features separate from observed trial results.
