Cost guide for US buyers
What CRM software, a custom CRM and CRM set-up cost in the US
The cost of CRM software is the subscription, but the cost of CRM implementation is the work around it: moving data, building the pipeline, connecting your other tools and training people. This guide lists the prices vendors publish, shows the US wage data for building in-house, and sets out what a custom build depends on.

Six things that set the cost of a CRM
Seats
How many people log in
Most CRM software is priced per user per month, so the total grows with your team. Some products, such as GoHighLevel, price by plan and allow unlimited users.
Edition
Which tier you need
Automation, custom fields, forecasting, permissions and API access usually sit in the higher editions. The price you see on the front page is often the lowest tier.
Onboarding
Fees charged to get started
Some vendors charge a one-time onboarding fee on their upper plans. HubSpot lists one for Professional and for Enterprise, shown in the table below.
Data
Moving and cleaning your records
Contacts held in sheets, email and an older CRM need mapping, de-duplication and import. The messier the source, the more work.
Connections
Linking your other tools
Forms, calendar, phone, text messages, accounting and your website each need a connection that is built, tested and maintained.
Customization
Pipelines, fields and automation
Stages, scoring rules, follow-up sequences and reports are configured to your sales process. A custom build goes further and writes the software itself.
Cost of CRM software: what vendors list on their own pricing pages

| Zoho CRM | Professional | US$23 per user per month | Adds CPQ, process automation and inventory management. |

| Salesforce Sales | Pro Suite | US$100 per user per month | Billed annually. |
| Salesforce Sales | Core | US$195 per user per month | Billed annually. |
| Salesforce Sales | Advanced | US$395 per user per month | Billed annually. |
| Salesforce Sales | Max | US$550 per user per month | Billed annually. The Agentforce for Sales add-on is listed from US$125 per user per month. |
| GoHighLevel | Starter | US$97 per month (US$970 billed yearly) | 3 sub-accounts, unlimited contacts and users. |
| GoHighLevel | Unlimited | US$297 per month (US$2,970 billed yearly) | Unlimited sub-accounts and basic API access. |
| GoHighLevel | Agency Pro | US$497 per month (US$4,970 billed yearly) | Adds SaaS mode and advanced API access. Telecom and AI usage charges may apply on top. |
Not every CRM is listed. A vendor is left out when its pricing page could not be read in full on the check date. Prices are per seat unless the row says otherwise.
Turning a price list into your monthly CRM cost
For a per-seat product, multiply seats by the price per seat. As an arithmetic illustration using the listed Zoho CRM Enterprise price of US$40: 5 users is US$200 per month. For the same 5 users on the Salesforce Pro Suite price of US$100, it is US$500 per month. Neither is a recommendation, and the editions differ in what they include.
For a plan-priced product such as GoHighLevel, the plan is the cost whether you have 3 users or 30, and the question becomes whether you need its sub-accounts, API access and built-in messaging.
Then add the one-time items: any onboarding fee the vendor lists, data migration, set-up of pipelines and automation, and training. These are the cost of CRM implementation, and they belong in the first-year figure.
Custom CRM development cost and what it depends on
A custom CRM is software written for your process instead of configured in a vendor's product. It makes sense when your workflow does not fit a standard pipeline, when you need to own the data model, or when per-seat fees across a large team outweigh the build. The custom CRM development cost, like any CRM software development cost, depends on the number of record types, user roles and permissions, integrations, reports, mobile use and how much of your data must move across.
One in-house reference point: the US Bureau of Labor Statistics reports a median of US$135,980 per year for software developers in May 2025 (Occupational Outlook Handbook, based on its Occupational Employment and Wage Statistics program). That is wages only, before benefits, payroll taxes, tools, management time and the maintenance that follows the first release.
Because the scope varies so much, agencies and freelancers quote custom CRM work from a written brief, and this page lists no price for ours either. A useful quote names the record types, roles, integrations and reports it covers, who owns the code, and what support follows.

A monthly value check for a CRM, with your own numbers
No result is claimed here. Fill in each variable from your own records and compare with the monthly cost you worked out above.
| Variable | Where to find it | Role in the sum |
|---|---|---|
| A. New leads per month | Forms, calls, ads and referrals, counted in one place | The volume the CRM has to track |
| B. Share that gets no follow-up or a late one | Compare lead records with follow-up activity | The part of A a pipeline and reminders could rescue |
| C. Close rate | Deals won divided by leads | How many rescued leads become customers |
| D. Average deal value | Your invoices or accounting package | Revenue per customer won |
| E. Monthly cost | Seats x price per seat, plus add-ons, plus one-time costs spread over the period you choose | What you compare against |
Revenue at stake each month is A x B x C x D. Compare it with E. Time saved on admin counts only if the hours are redirected to selling or service.
Having a Philippine team set up or build your CRM
The software subscription is the same whoever configures it, because you pay the vendor in your own account. A Philippine team changes the set-up, migration and build side.
Time zone
An agreed overlap window
The Philippines is UTC+8 all year. The scope fixes a window in your US time zone when both sides are online. Details are on hiring from the United States.
Handover
Documented, in your accounts
Pipelines, automations and integrations are built in accounts you own, with written notes and a recorded walkthrough for your team.

Questions we get asked
What is the cost of CRM software for a small business?
On the vendor pages listed above, entry plans run from US$0 on free editions to US$14 per user per month for Zoho CRM Standard and US$25 per user per month for Salesforce Starter Suite. GoHighLevel starts at US$97 per month for a plan with unlimited users. The total depends on seats, edition and add-ons.
How much does Zoho CRM Enterprise cost?
Zoho lists Enterprise at US$40 per user per month on its pricing page as checked on 22 October 2026, with local taxes added. Professional is US$23 and Ultimate is US$52 on the same page.
What does CRM implementation cost on top of the subscription?
It depends on data migration, pipeline set-up, integrations and training. Some vendors publish a fee: HubSpot lists a one-time US$1,500 onboarding fee for Professional and US$3,500 for Enterprise. Otherwise the figure comes from the scope of work.
How much does custom CRM development cost?
There is no standard figure, because it depends on record types, roles, integrations, reports and data migration. The Bureau of Labor Statistics median for software developers is US$135,980 per year (May 2025) in wages alone, which is the in-house reference. For an outside build, ask for a written scope that lists what is included and who owns the code.
Should I buy CRM software or build a custom one?
Buy when a standard pipeline fits your process, because the vendor maintains it. Consider a custom build when your workflow does not fit, you need to own the data model, or per-seat fees across a large team are the main cost. Many teams start with a configured CRM and automate around it.
Does the CRM subscription go through you?
No. You pay the vendor directly, in an account you own. Our fees, quoted per scope, are for the set-up, migration, build or automation work, and the quote lists vendor costs separately.
Do you list what you charge for CRM work?
No. Request a quote and you receive a written scope with our fees and the vendor costs listed separately.
